Work we usually map in PE-backed companies

  • Report results to the board and the fund
  • Close the month and forecast
  • Run the core order or service process
  • Onboard acquired teams
  • Manage key customer and supplier accounts
  • Plan improvement projects

Where work usually waits

  • Key processes depend on a founder or one long-time employee.
  • Acquired teams work in different systems.
  • Board reporting is built by hand each month.

Tasks AI can help with

  • Prepare board and fund report drafts
  • Summarize the month's numbers for review
  • Draft standard operating notes for tasks held by one person
  • Build lists of tasks that repeat across acquired teams

These are examples. Your own list comes from your team's answers. A person stays in charge of each task and makes the judgment calls.

Questions we ask your team

  • What breaks if a key person leaves?
  • Which department should be mapped first?
  • Which reports are built by hand?
  • Where do acquired teams do the same work in different ways?

How the one-week map works

  1. Days 1 to 3: your team talks. Each person answers a few questions about their own work, on their phone or by typing. It takes about 20 minutes.
  2. Days 4 to 5: we map the work. Every task, who does it, how many hours it takes and where work waits. The people who do the work check it.
  3. Days 6 to 7: you pick what AI does. A ranked list of tasks AI can help with and the hours each one takes today. You choose. A person stays in charge of each one.

What you get on day 7

  • One map of who does what in the department.
  • A written card for each task: what starts it, the steps, who gets the result, how often it happens and how long it takes.
  • The hand-offs where work waits.
  • The tasks only one person knows.
  • A ranked list of tasks AI can help with, each with a named owner.

Every number comes from your team's own answers. You keep the readout and the files.

Questions and answers

Why map a portfolio company early?

A map shows key-person risk, slow hand-offs and the tasks AI can take on, so the value-creation plan starts from how the work is really done.

How long does it take?

One department is mapped in a week or less. Each person spends about 20 minutes answering questions.

Can the map be repeated across companies?

Yes. Each company gets its own map built the same way, so departments can be compared.
